Fields a hotel or host invoice should make easy to find
Start with the editable Word invoice template when deposit wording matters, or use the invoice generator for a finished PDF, Word or Excel file. Then adapt the fields to the stay:
- Legal business or host name, contact details and property address.
- Guest name and, for business travel, the paying company and purchase-order reference.
- Invoice number, issue date, due date and booking reference.
- Arrival and departure dates, room or unit description, number of nights and nightly rate.
- Separate lines for cleaning, meals, parking, local fees or other agreed extras.
- Tax labels, rates and amounts required for the stay.
- Payment method or instructions, cancellation adjustments and remaining balance.
A booking confirmation shows what was reserved. An invoice requests or records the charges. A receipt confirms payment. One document may contain overlapping details, but its title and payment status should remain accurate.
Worked example: three nights plus cleaning
3 nights × $120 = $360
Cleaning fee = $30
Invoice subtotal = $390
A $120 booking deposit was recorded separately, so the manually stated outstanding balance is $270 before any applicable tax treatment.
The generic generator will still show a total of $390 because it has no deposit or paid-amount field. Do not reduce the quantity or enter a negative rate to force a balance. Use an editable Word or Excel file to add a clearly labelled “Deposit received” and “Balance due” section, or choose a hospitality system that properly records payments.
Itemize charges so the guest can reconcile the stay
Combine identical nights only when the rate is the same. If the weekend rate differs, show separate lines. Put optional services and pass-through charges on their own lines. Avoid vague entries such as “miscellaneous.” A guest should be able to compare the invoice with the booking and identify any difference.

Check tax, currency and payer details
Accommodation taxes and invoice requirements vary by jurisdiction, property type and registration status. Confirm the correct tax labels and whether local occupancy charges need separate treatment. State the currency, especially when the booking platform, guest and property use different currencies.
For a company-paid stay, ask which legal entity should appear as the customer and whether the company needs the guest name, tax identifier, cost center or purchase order. Do this before checkout when possible.
Turn the layout into a reusable host template
Save a master containing the property details, standard payment instructions and usual charge labels. Leave guest, booking, stay, invoice number and rate fields blank. Our Word template is easier for custom deposit wording; the Excel template is better for calculating several nightly rates. Review the exported PDF before sharing it.
Frequently asked questions
Is a hotel invoice the same as a booking confirmation?
No. The confirmation records the reservation and expected terms; the invoice records charges and requests payment. A receipt confirms payment.
How should a deposit appear?
Show the original stay charges, identify the deposit separately with its date or reference, and state the remaining balance. Use a template or system that supports this clearly.
Can the online generator subtract a deposit?
No. It has items, one discount and one tax rate, but no deposit or partial-payment field. Use an editable export to add the payment and balance clearly.
