02 What you're billing for

Tax is calculated after the discount. Each item amount, discount and tax is rounded to your currency's precision. Changing currency does not convert prices. Quantities are limited to 10,000 and rates to 1,000,000; higher entries are capped.

How to create an invoice in Word format

  1. Add your business, client, invoice number and dates to the form.
  2. Describe the services or goods, enter quantities and rates, and add payment terms in Notes & payment instructions.
  3. Download DOCX and open it in Word. Adjust fonts, spacing or descriptions to suit your client.
  4. If you change an amount, update every affected total or return here to generate a new file. Keep the DOCX and save a PDF copy when you are ready to send.

A Word invoice for detailed services and payment terms

Choose a DOCX invoice when you want control over the wording and document layout. It suits project work with detailed service descriptions, milestone explanations or client-specific payment instructions. The generator fills the document first, so you do not need to copy details into a blank template.

What you can edit in the downloaded DOCX

Your business and client details, dates, invoice number, item table and notes are editable text. Open the file in Word to adjust fonts, table widths, spacing and page breaks. The download uses a document layout; the on-page preview shows your details and amounts rather than an exact Word print preview.

Calculated here, fixed amounts in Word

The generator calculates line amounts, discount, tax and total before creating the document. Word receives those amounts as text. Rewording a description does not affect them, but changing a rate or quantity requires you to update the figures. Word invoice generator questions

Can I add my company logo and a client logo?

Yes. Upload a PNG, JPG or WebP image under Your business logo or Client logo. Adjust each logo’s size and alignment separately. Both are optional and included in the downloaded invoice and JSON backup. Use sample logos to try a fictional example.

Is the generated Word invoice editable?

Yes. The DOCX contains editable text and a table, including your sender, client, items, dates and payment notes. You can change fonts, wording and spacing in Microsoft Word or a compatible editor.

Will Word recalculate invoice totals after I edit them?

No. The generator calculates the amounts before download, but the DOCX stores them as text. If you change a quantity, rate, discount or tax later, check and update the totals yourself or generate a new invoice here.

Can I open the invoice in Google Docs?

You can upload the DOCX to Google Drive and open it with Google Docs. Review tables and page breaks after import. The generator does not connect to your Google account or create a native Google document.

Is this a blank Word invoice template?

No. This generator fills a Word document with the details you enter. If you prefer to do all the work in Word, use the separate blank Word invoice template linked below.

Should I send my client the Word file or a PDF?

Keep the Word file when you need to revise wording or layout. For a finished invoice, save a PDF from Word to preserve the layout, then open and review that PDF before sending it.
