How to use this Google Sheets invoice template

  1. Download the XLSX template and sign in to Google Sheets with your own Google account.
  2. Open a spreadsheet, choose File → Import → Upload, and select the downloaded workbook. Choose the import option that creates a new spreadsheet.
  3. Fill in the bracketed details, edit descriptions, quantities and rates, and check the formula results after import. Keep a master copy for future invoices.
  4. Choose File → Download → PDF. Select the invoice sheet and adjust the print settings so the complete invoice fits cleanly.

When Google Sheets is a good fit

Google Sheets works well when you want reusable formulas and access from more than one device. Restrict sharing to the people who need it. If you only need one quick PDF, the online invoice editor avoids the import step.

Make it a complete invoice

Include a unique invoice number, issue date and payment due date. Identify your business and client, describe each item clearly, and show quantities, rates, currency, any applicable tax and the total due.

Add payment instructions that your client can follow. Replace every bracketed placeholder with your information, remove the instruction rows in the Excel workbook before sending, review the actual file you will send, and keep a copy. Questions about Google Sheets invoices

Can I automate an invoice in Google Sheets?

The template calculates amounts from your inputs. It does not send invoices, track payment or create invoice numbers automatically. Those workflows need separate setup.

Is this Google Sheets invoice template free?

Yes, the XLSX template is free to download. You use your own Google account to import and edit it. No Invoice Template account is needed.

What should I check after importing?

Check currency formatting, formula results, dates, print area and page breaks. Make sure all line items appear on the PDF you actually send.
