Maintain a small invoice register
A numbering template is incomplete without a register. A basic spreadsheet can record number, issue date, client, amount, currency, status and a file link. Assign the number from the register, then add it to the invoice. Do not rely on the last file in a download folder.

Our generator does not maintain this list or increment the number. You enter the number manually, so checking the register is part of the workflow.
Handle gaps, cancellations and corrections openly
A missing number is easier to explain when the register says what happened. If INV-2026-0042 was cancelled, keep that row and the original file or correction record. Do not give 0042 to a different transaction merely to close the gap. For a corrected document, follow the applicable rules and cross-reference the original.
Legal requirements vary. As a country-specific example, UK VAT record-keeping guidance describes sequential numbers in one or more series. This illustrates why a locally valid scheme matters; it is not a universal numbering rule.
Use multiple series only when they clarify ownership
Separate series can help when branches, legal entities or sales channels issue invoices independently. Give each a clear prefix and one owner. Record the policy: who can allocate numbers, when a series resets and how cancellations are logged. Avoid using customer initials in a way that exposes personal data or changes whenever a client name changes.
- Good: LON-2026-001 and MAN-2026-001 for documented branches.
- Risky: ACME-03 when the customer code becomes the primary sequence.
- Weak: final-invoice-2 when the label has no controlled uniqueness.

- Choose one pattern and write down an example.
- Decide the starting number and any valid reset rule.
- Create the register columns.
- Reserve the next number only when you create the invoice, then update its status.
- Put the number in the file name, invoice heading and any client message.
Frequently asked questions
Can invoice numbers contain letters?
Often yes, but local tax rules may restrict format or length. Use letters for a stable series prefix and check requirements that apply to your invoices.
Should invoice numbers reset every year?
Only if your rules and record process support it. Include the year in the number when resetting so the full identifier remains unique.
What should I do with a cancelled invoice number?
Keep the number and mark it cancelled with a reason. Do not silently reassign it to another invoice.
