How to Save and Reuse a Template in This Invoice Generator

This site offers two different kinds of saving: one convenient draft on the current device and a JSON backup file you control. Neither is an online account or a cloud template library.

Direct answer

Prepare a neutral master, choose “Remember this draft on this device” for convenient local reuse, and choose “Download backup” for a portable invoice-backup.json file. Selecting a valid backup replaces the current invoice immediately, so back up the open draft first.

Prepare a clean master before saving

Open the invoice generator, choose PDF, Word or Excel, then enter the details that should carry forward: your business name, contact details, usual currency and standard payment instructions. Remove the previous customer, project and transaction.

  • Leave client fields blank or clearly generic.
  • Remove old line items and add a neutral placeholder only if it helps your workflow.
  • Set the invoice number and dates manually each time; the generator does not increment them.
  • Do not treat a saved draft as your invoice register or payment record.

Option 1: remember one draft on this device

Choose Remember this draft on this device when you want the latest draft to reappear in the PDF, Word or Excel generator in the same browser. The three generic format tools share that one latest local draft. Saving a new one replaces the previously remembered generic draft.

Use this on a device and browser profile you trust. Browser storage can be cleared by privacy settings, cleanup tools or a manual reset. It does not sync to another device and Invoice Template cannot recover it from an account.

Option 2: download a portable backup

Choose Download backup to save invoice-backup.json. Store it with your business records, then choose Import backup when you need it. The importer accepts this site’s JSON backup format up to 1 MB; it does not import Word, Excel or PDF invoices.

After you select a valid backup, importing replaces the current invoice immediately. Download a backup of the open draft first if you may need it. A JSON backup is editable data for this generator, not the polished document to send to a client.

A repeatable monthly workflow

  1. Import the clean master or open the remembered draft.
  2. Immediately assign a new invoice number and dates.
  3. Enter the current client and current items.
  4. Check currency, discount, tax and payment instructions.
  5. Download the finished PDF, Word or Excel file and open it.
  6. Download a transaction backup if you need to edit that exact invoice later.
  7. Restore the neutral master before saving the remembered draft again.

Prevent old details from reaching the next client

The fastest reuse mistake is also the most awkward: leaving an old name, address, invoice number or note in place. Search visually from top to bottom and compare the final export against your source instructions. If you often bill different currencies or tax treatments, keep separate JSON master files with clear names rather than relying on the single remembered draft.

Good master-file names: service-usd-master.json, consulting-gbp-master.json, retail-no-tax-master.json. The names are for your own organization; the generator does not manage a library.

Where is my remembered invoice stored?

It is stored in this browser on this device. It is not uploaded to an Invoice Template account and does not sync.

Can I save several templates in the generator?

The remembered draft holds one latest generic draft. Download separate JSON backups with clear file names if you need several reusable masters.

Can I import an old PDF or Word invoice?

No. Import backup accepts only this site’s JSON backup format under 1 MB. Use the old file as a visual reference and rebuild a clean master.
